Privacy Policy

What this covers

This policy describes how LaborGenie (operated by Physician Practice Specialists) handles information collected through the marketing site at laborgenie.ai and through Google sign-in on the LaborGenie training platform at lms.laborgenie.ai. Use of the training platform is also governed by a separate customer agreement entered into with your organization, including any applicable business-associate agreement.

What we collect

From the marketing site: Name, work email, organization name, approximate roster size, and any message content you submit through a form on this site. We also collect standard analytics data (pages viewed, general location, device type) through Google Analytics.

From the LaborGenie platform (lms.laborgenie.ai): When you sign in using Google, we receive your name, email address, and Google account profile picture from Google. We use this information solely to create and authenticate your account on the platform. We do not access your Google Drive, Gmail, Calendar, or any other Google Workspace data. The only Google data we request is the information necessary to identify you and create your session.

How we use it

Marketing site information is used to respond to demo requests and contact inquiries, to send requested resources, and to understand which pages are useful. We do not sell this information to third parties.

Platform sign-in information (name, email, profile picture from Google) is used only to authenticate your identity and display your name within the LaborGenie platform. It is not used for advertising and is not sold.

Service providers

We do not sell your information or share it for anyone else’s purposes. We do rely on a small number of service providers who process information on our behalf, under contract and only on our instructions, in order to run the platform: cloud hosting and storage, database and authentication, email delivery, and an AI provider used for in-product help and for suggesting setup details from an organization’s own public website. These providers may not use the information for their own purposes.

Your organization’s agreement with us governs which of these arrangements are covered by a business-associate agreement; contact us at the address below if you need that detail for your own vendor assessment.

Google API data use

LaborGenie’s use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We request only the minimum Google account information necessary to authenticate users (name, email address, profile picture via the openid, email, and profile scopes).
  • We do not use Google user data to serve advertisements.
  • We do not allow humans to read Google user data unless you have given explicit permission, it is necessary for security purposes, or it is required by law.
  • We do not use or transfer Google user data for purposes unrelated to providing the LaborGenie training platform.

Cookies and analytics

This site uses Google Analytics through the Google tag to understand traffic patterns and measure advertising performance. Successful demo requests and contact inquiries send a lead event and the form type to Google Analytics, linked to our Google Ads account for campaign measurement. We do not include names, email addresses, organization names, or message contents in these analytics events. Advertising personalization and Google signals are disabled in the site tag. You can opt out using your browser’s cookie controls, or with Google’s opt-out browser add-on. The LaborGenie platform itself carries no analytics; it uses session cookies only to keep you signed in during your visit.

What we record when you submit a form

Alongside what you type, each form submission records a small amount of technical information automatically: the IP address the submission came from, the country derived from it, the browser user-agent string, the originating site address, and the time of submission. These are used to attribute the enquiry, distinguish real submissions from automated ones, and diagnose delivery problems. They are not used to build an advertising profile and are not sold.

Retention

We retain form submissions for as long as reasonably necessary to respond to your inquiry and, where you’ve become a customer, for the duration of that relationship plus a reasonable period afterward. Platform account data is retained for the duration of your organization’s agreement with LaborGenie. You may request deletion at any time — see below.
